  • Names and contact details exactly as used in the parties’ documents
  • Identity and address documents requested through the authorised process
  • Ownership or authority documents, where applicable

Tenant verification: prepare before move-in

Tenant verification is easier when the landlord and tenant agree on the process before move-in. Keep your records organised and seek assistance with the relevant official or society requirements.

  1. Confirm the tenant’s complete contact details and proposed move-in date.
  2. Check the society’s move-in rules, notice format, and any forms required.
  3. Prepare a clear inventory or condition record for furnished properties.
  4. Keep a copy of the completed agreement and delivery/possession notes.
  5. Use an authorised or appropriate process for police-verification assistance where required.

Do not treat informal online messages as a substitute for the applicable verification or society process.

Rental renewals and society paperwork: plan early

Set a reminder 30–45 days before an agreement ends. This leaves time to confirm revised rent, deposit, new term, and any changes in occupants or property terms.

For renewals

  • Record changes in rent, deposit, term, notice period, or occupancy.
